While we will do our best to work with presenters and speakers to accommodate emergency requests, we cannot guarantee inclusion of presentations when slides are received after the July 16 slide deadline. Additionally, if we successfully receive slides by July 16, but we do not have a recording appointment booked in the August 2-17 recording period, we cannot guarantee inclusion of the presentation in the program. Emergency requests will be reviewed on a case by case basis and are not guaranteed to be accommodated.

Oral Presentation

Oral presenters will be given the opportunity of a 10-minute Oral Presentation and are asked to prepare a PowerPoint presentation with a maximum of 10 slides for this presentation (not including title, author and disclosure slides).

Presenting authors must comply with the following guidelines:

  • Employees of ACCME defined ineligible companies are prohibited from presenting educational content for Continuing Medical Education.
  • Presenting author must control all content. Ineligible companies may not influence scientific content by requiring the use of company slide decks or other materials. Scientific data generated by industry sponsored research is permissible.
  • Content of educational activities must be well-balanced, evidence based and unbiased. Generic names should be used to the extent possible.
  • Slides, abstracts, and handouts cannot contain advertising, QR codes, corporate logos, trade names, or product-group messages of an ACCME-defined ineligible company.
  • Acknowledgments at the close of presentations should be limited to non-commercial entities, e.g., education or research institutions, foundations, patients, other faculty or researchers, and should not include the names of ACCME-defined ineligible companies.

Each presentation MUST include a financial disclosure slide

Please proof-read the title of your abstract and the names of the authors. This is how your information will appear in the Abstract Book (JTO supplement) and on the Conference website prior to IASLC WCLC 2021.

Presentation Preparation

  • Each presentation MUST include a financial disclosure slide
  • Speakers and Discussants are strongly encouraged to use the IASLC WCLC 2021 presentation slide template: Download Template
  • PowerPoint Best Practices:
    • Technical:
      • Your presentation must be prepared in PowerPoint2000 or any later PowerPoint Version (MS Windows)
      • Set the slide size of the page to “On-screen show” and landscape orientation in the page set-up section. (Portrait orientation will not be displayed properly)
    • Formatting:
      • Use high-contrast lettering, and not too much text per page (max. 5-10 lines or 15-20 words).
      • Font sizes should be no smaller than size 14 or 16 for maximum visibility.
      • Make sure you use high-contrast colors for the best definition of your text. Please be aware that red letters or lines are usually not visible.
      • Avoid special characters: To avoid any compatibility problems, please do not use special characters (i.e. “, Ö, Ø, ñ, ?, ®, ý, }, { etc) to name your presentation files
    • Content and Organization:
      • As a general rule, you should not present more than 1 slide per minute.
      • Do not read slides word for word. Visual material provides cues and images to support your verbal presentation.
      • Make sure your presentation has a clear flow from introduction to conclusion. Identify key points and why they are important.
      • Include take-home points. Consider which 2-3 points you want the audience to remember after your presentation.
      • The inclusion of a disclosure slide is mandatory even if you have no conflicts to declare.
      • Less is more! Include relevant information on your slides, supplemented and explained by your verbal presentation.

 Live Day Availability

  • All presentations will be pre-recorded.
    • Education Sessions: Education session content will be available to meeting attendees on-demand approximately 1 week before the meeting and there will be a 35-minute Live Discussion and Q+A session during the meeting. Recording of Your Presentation

Important Technical Requirements

In order to ensure your recording session runs without any technical issues, we ask that you carefully read the instructions below and follow our recommendations in regard to your technical equipment. Please don’t hesitate to reach out if you have any questions.

  1. Zoom Desktop App –We will be using Zoom to pre-record your presentation – please download the desktop Zoom App (https://zoom.us/download, click “Download under “Zoom Client for Meetings”). If you have it already downloaded, please ensure that you have the most up to date version. Zoom made some great updates recently due to the increased use in 2020 (Version 5.4.6. as of December 2020). Open your Zoom App > click the icon of you (top right corner) > Check for Updates.
  2. Background Image – Apply one of the below background images in your zoom account. For assistance, please visit https://support.zoom.us/hc/en-us/articles/210707503-Virtual-Background.
    1. Option 1
    2. Option 2
  1. Background– If the virtual background is not working well, please remove and move forward with your true room background. Ensure it is tidied up and does not contain any compromising items of conflicting interests (ie cigars, alcohol).
  2. Room Environment – If possible, we would like for you to join us for the tech check/recording in the same location you will be in for the live session.
  3. Camera setup – Ensure your camera is centered and that we can see you from the chest up to a few inches over your head. Start a meeting with yourself by clicking on “New Meeting” in Zoom to optimize your camera setup.
  4. Headset – We highly recommend the use of headphones with a boom microphone like the one below (USB preferred over Bluetooth).
  5. Stopwatch - Have a stopwatch ready so you can track your presentation time to ensure you stay within your allocated time.
  6. Lighting – Lighting should come from in front of you rather than from behind you. Avoid backgrounds with harsh light such as windows. If you do sit in front of a window, please close the curtains/blinds.
  7. Clothes – Avoid wearing colors such as green or yellow as this will blend into the virtual background.
Best Practices

Here are a few tips and best practices that you may find helpful if this is your first time doing a virtual presentation.

  • Record in a quiet space: Barking dogs and slamming doors are not just distracting in person, they are also distracting via Zoom! Find a quiet space to meet and shut the door. Place a ”Do Not Disturb” sign on your door so people know not to bother you.
  • Look at the Camera: To mimic the in-person feeling of eye contact. Alternating between looking at the screen to gauge the attendee’s reactions and looking at the camera. If your webcam is built into your computer/laptop be sure to have your slides on the same screen as your webcam to avoid looking away from the camera.
  • If feasible, stand up: Helps keep things dynamic and energetic (use slide advancer instead of clicking next on the keyboard for natural experience).
  • Don’t get too close: Position yourself so the camera is seeing you from the chest or waist up instead of just seeing your face.
  • Tip: Record yourself and watch your own recording.
